POSITION: CSAP Communications

The CSAP Society requires a Communications generalist to be able to commit to a minimum of 8 hrs (in office) per week and 8-16 hrs (remotely) per week. Reporting to the Executive Director, the Communications consultant/officer is responsible for the Society’s communication with different target audiences, including the public, the CSAP members and stakeholders. Working with the ED, the Communications person will contribute to the development and implementation of a wide range of communication materials including but not limited to: society documents, website, quarterly newsletter, webinars and annual reports.

This position will also interact with the Board of Directors and Board Committees through maintaining Board minutes, Agendas, scheduling and other duties as required.

Responsibilities by Function:

Board and Committees

  • Assist Professional Development Committee with meeting management and preparing/editing and proofing agendas, minutes and attachments.
  • Manage PD Committee agenda & minutes – follow up on action items
  • Provide support and coordinate activities related to the professional development of the society’s members.
  • Research and implement useful software for professional development activities
  • Assist ED in preparing/editing and proofing agendas, minutes & action items for the Board of Directors bi-monthly meetings
  • Edit and proof read the society’s formal documents including; By-Laws, Rules, Guidance, and others –
  • Edit and proof read the society’s informal documents including letters & emails
  • Maintain & update CSAP documents; At A Glance and others-
  • Create graphics for internal and external documents including; infographics, organizational charts, and others-

Membership:

  • Draft, edit and send all memos to memberships, maintain memo files
  • Create all holiday greetings
  • Participate in training sessions on FileMaker Pro
  • Keeping members contact information up to date (Mailchimp & Website)
  • Create, track and report surveys to membership
  • Convert documents used by members to be more user-friendly; SoSC Fillable Form, nomination forms, and -others

Newsletter:

  • Collect content for quarterly newsletters by working closely with ED, committee chairs and board members
  • Compile, edit & proof all copy in longform and email format, create graphics as needed
  • Maintain subscribers list on quarterly basis
  • Redesign newsletter layout on yearly basis
  • Maintain readership statistics

Website:

  • WordPress Website upkeep including; user info, Events, PD Workshop videos and presentations, revisions to submissions guidance documents, Board of Directors list, AP lists, and others-
  • Upload and maintain media files
  • Create new web pages, update widgets as needed
  • Upload and manage newsletters and Ministry Clarification summary on website
  • Act as liason between third party web developers & SEO Optimization supplier and office
  • Project manage website refresh/redesign

Webinars:

  • Coordinate webinars with PD Committee
  • Create webinar agenda & invitations to membership
  • Create, webinar PPT templates, coordinate webinar dry-runs & provide support during webinars
  • Perform post-production work to webinar files such as presentation & audio files, manage webinar files in Adobe Connect, upload webinars to website.

Annual Report:

  • Design & create annual report and all programs for events
  • Collect & compile content of annual report, oversee its production

 AGM & PD Workshop Events

  • Take photos of events, maintain files
  • Create invitation, PPT presentation templates, compile content from ENV & presenters, create graphics as needed
  • Attend and assist in AGM and PD Workshop coordination, oversee audio/visual
  • Book No-Host post even venue & order food
  • Liaison between office and invited speakers when needed
  • Design event roll up banners on yearly basis
  • Record event statistics

Strategic Planning Sessions

  • Assist in preparing/editing and proofing agendas, minutes and attachments.
  • Book & coordinate event and act as key contact with venue
  • Attend annual Strategic Planning Sessions

Stakeholder Meetings

  • Assist in preparing/editing and proofing agendas, minutes and attachments.
  • Coordinate event and act as key contact with venue
  • Attend annual/biennial Stakeholder meetings
